Look, we get it - privacy matters. At Auralith Frontier Fitness, we're not in the business of selling your data or doing anything sketchy with your personal info. This policy breaks down exactly what we collect, why we need it, and what we do with it. No legal jargon nonsense, just straight talk.
We run a high-intensity training facility in Vancouver, and we need certain info to keep things running smoothly and help you crush your fitness goals. That's really what it boils down to.
When you sign up with us, we're gonna need the basics - your name, email, phone number, and address. We also collect your birthdate to make sure you're old enough to train here and for birthday perks (yeah, we do that).
Here's where it gets real - we need to know about your current fitness level, any injuries you've had, medical conditions that might affect training, and your goals. Our coaches use this stuff to keep you safe and design programs that actually work for YOU. We're not gonna have you doing box jumps if you've got a bum knee, ya know?
We track your workout performance - weights lifted, times, reps, athletic testing results. This isn't Big Brother stuff, it's so you can see your progress and we can adjust your programming.
Obviously we need payment details for memberships and services. We use secure third-party processors (Stripe, Square) - we don't store your full card numbers on our systems.
We track when you check in, what classes you attend, and which services you use. Helps us with scheduling and making sure we've got enough equipment.
First and foremost, we use your info to provide the services you signed up for. Your trainers need to know your history, your goals, and your current abilities to write effective programs and coach you safely.
We'll hit you up about class schedules, program updates, facility closures, and yeah - sometimes promotions. Don't worry, we're not spamming you daily. You can opt out of marketing stuff anytime.
Your check-in data helps us manage capacity, schedule classes properly, and make sure we're not overcrowding the space. Safety first.
Pretty straightforward - we use your payment info to charge membership fees and process purchases for additional services.
Sometimes we're legally required to keep records - waivers, injury reports, that kind of thing. Boring but necessary.
We look at aggregated data (not your personal stuff) to figure out what's working and what's not. Like if everyone's loving HIIT classes but nobody's showing up for early morning sessions, we'll adjust.
Your trainers and coaches need access to your info to do their jobs. That's it. Everyone on our team signs confidentiality agreements.
We work with third-party companies that help us run the business - payment processors, scheduling software, email services. They only get what they need to provide their specific service, and they're bound by their own privacy policies.
If we're legally required to disclose information (court order, government request), we'll comply. But we're not gonna voluntarily hand over your data to anyone.
We don't sell your personal information to marketers, data brokers, or anyone else. Period. Your email's not ending up on some spam list because of us.
We use industry-standard encryption for data transmission and storage. Our systems are regularly updated and maintained. We're not some fly-by-night operation with data sitting on an unsecured laptop.
Paper records are kept in locked cabinets. Our computers are password-protected. Staff doesn't leave sensitive info lying around.
Only staff members who actually need access to your information get it. The front desk person doesn't need to see your medical history, your trainer doesn't need your credit card details.
Look, no system is 100% bulletproof. We do everything reasonable to protect your data, but if somehow there's a breach, we'll notify you as required by Canadian law.
They're tiny files that websites stick on your device to remember stuff. Not the delicious kind, unfortunately.
These keep the website working - remembering you're logged in, items in your cart, that sort of thing. Can't really run the site without these.
We use Google Analytics to see how people use our site - which pages get visited, where people click, how long they stick around. This is anonymous data that helps us make the site better.
These track whether you came from a Facebook ad or Google search, help us show relevant content. You can disable these through your browser settings if they bug you.
Most browsers let you block or delete cookies. Just know that some site features might not work as well if you go full nuclear on the cookie blocking.
Wanna know what info we've got on you? Just ask. We'll provide a copy of your personal information we're holding.
If something's wrong or outdated, let us know and we'll fix it. Actually, please do this - especially if your emergency contact changes or you've got new medical info.
If you leave and want us to delete your information, we'll do it - except for stuff we're legally required to keep (payment records for tax purposes, signed waivers, that kind of thing).
Don't wanna get promotional emails? There's an unsubscribe link in every marketing message we send. We'll still send you important stuff like billing notices and schedule changes though.

While you're training with us, we keep all your data current and accessible for your coaches and our operations.
When your membership ends, we'll keep your basic info for about 2 years in case you come back (makes re-enrollment way easier). Your workout data sticks around so if you return, you're not starting from scratch.
Signed waivers, liability forms, and financial records? We're required to keep those for 7 years per Canadian business law.
Request deletion anytime after your membership ends (except for that legal stuff we mentioned). We'll wipe it within 30 days.
If you're under 19, we need a parent or guardian to sign off on everything. They'll have full access to your training information.
For our youth athletic development programs, we collect the same type of info as adults but we're extra careful with it. Parents can request access or deletion anytime.
We sometimes take photos or videos for social media or marketing. For minors, we always get explicit parental consent first. No exceptions.
We might update this policy from time to time - new laws, new services, whatever. When we make significant changes, we'll let you know via email and post the updated version on our website with a new "Last Updated" date at the top.
Check back occasionally if you're curious. We're not gonna pull any fast ones - any major changes will be clearly communicated.
If you keep using our services after we update the policy, that means you're cool with the changes. If you're NOT cool with them, let's chat or you can cancel your membership without penalty within 30 days of the update.

We're a Canadian business operating in British Columbia, so we follow PIPEDA (Personal Information Protection and Electronic Documents Act) and BC's privacy laws. Basically, these laws give you rights over your personal information and require us to handle it responsibly.
If you think we've violated your privacy rights and talking to us directly doesn't resolve it, you can file a complaint with the Office of the Privacy Commissioner of Canada. But let's be real - let's try to work it out first.
